Volunteer Service Agreement

I understand that eligibility to serve as a volunteer with Bristol Raceway Ministries (“BRM”) requires that I am at least 18 years of age and capable of safely performing assigned duties while following all instructions and safety requirements. This Agreement remains in effect until revised by BRM or until my volunteer status becomes inactive, defined as no participation for twelve (12) consecutive months.

I understand that individuals under 18 years of age (“Minors”) are not volunteers and may not independently perform volunteer duties. A Minor may be present only if accompanied by an adult volunteer and may assist only in a limited, incidental capacity under my direct and continuous supervision. Minors are not permitted to participate in hazardous or restricted activities.

If I bring or allow a Minor to be present, I represent that I am the parent or legal guardian or have obtained permission from the parent or legal guardian for the Minor’s presence, and that I am authorized to supervise the Minor. I accept full responsibility for the Minor’s supervision, conduct, and safety at all times. I understand that BRM does not provide childcare and assumes no duty of supervision or care for Minors.

I understand that BRM may, upon request, document and verify community service hours for school or college programs. Such verification reflects only the individual’s presence and participation in activities and is provided solely for the purpose of confirming hours reported.

For any Minor present, I understand that verification is based only on their presence and incidental assistance while under supervision and does not imply independent volunteer status. I understand that BRM does not guarantee that participation will satisfy any specific program or institutional requirements.

I acknowledge that participation in volunteer activities at motorsports events and similar environments involves inherent risks, including but not limited to bodily injury, illness, death, property damage, exposure to loud noise, vehicle and pedestrian traffic, extreme weather, crowd-related hazards, physical exertion, and the use of equipment.

I understand that these risks may arise from my own actions or inactions, the actions of others, equipment, or site conditions. I voluntarily assume all such risks and confirm that I am physically and mentally capable of safely performing my duties. I understand that my participation is voluntary and that I am free to decline or discontinue participation at any time.

If I bring or allow a Minor to be present, I accept full responsibility for the Minor and assume all risks associated with the Minor’s presence and activities.

To the fullest extent permitted by law, I release and discharge Bristol Raceway Ministries, its officers, directors, employees, volunteers, representatives, affiliates, partner organizations, and event hosts (collectively, the ‘Released Parties’) from any and all claims arising out of or related to my participation, including claims for personal injury, death, or property damage, including those arising from the ordinary negligence of the Released Parties, except where prohibited by law.

I agree to indemnify and hold harmless the Released Parties from any claims arising out of my actions, omissions, or breach of this Agreement, and I agree to follow all instructions and safety guidelines provided.

I confirm that I am in adequate health to perform volunteer duties. I agree not to participate in any BRM event if I am experiencing symptoms of a communicable illness, including fever, respiratory symptoms, or other contagious conditions. I acknowledge that BRM may require me to leave the premises if I appear symptomatic during an event. I understand that exposure to communicable illnesses may occur despite reasonable precautions.

I acknowledge that I am not an employee of BRM and will not receive compensation or employment benefits for my services. My volunteer service does not create an employment relationship, and I have no expectation of compensation now or in the future. I understand that I am not entitled to workers’ compensation benefits unless otherwise required by applicable law.

I understand that BRM may maintain general liability insurance that, in certain circumstances, may extend to volunteer activities. The existence of such insurance does not expand BRM’s liability beyond what is permitted by this Agreement, does not guarantee coverage for any specific claim or incident, and does not alter or diminish the releases and waivers set forth herein.

I understand that I am not authorized to act on behalf of BRM, enter into agreements, or incur obligations on its behalf unless expressly authorized in writing.

I agree to follow all applicable laws, rules, regulations, event policies, and instructions provided by BRM staff and event personnel. I will not use alcohol, illegal drugs, or any impairing substances before or during volunteer activities, and I will conduct myself appropriately at all times in accordance with BRM policies, including those outlined in the BRM Volunteer Handbook.

BRM may remove me from service at its sole discretion for unsafe, inappropriate, or noncompliant conduct, and reserves the right to refuse, suspend, or terminate volunteer participation at any time.

I agree to notify BRM as soon as reasonably possible if I am unable to fulfill a scheduled volunteer commitment. I understand that repeated failure to provide notice may result in removal from the volunteer roster.

I understand that, in the course of serving with BRM, I may receive or become aware of personal, sensitive, or private information, including verbal or written prayer requests shared by individuals.

I agree to treat all such information with respect, discretion, and care, recognizing the trust placed in me through ministry service. I will not share, discuss, record, or disclose personal information or prayer requests outside of BRM or beyond what is necessary for ministry purposes, except as required by law.

I will not post, share, or reference any personal information, prayer requests, or identifiable details about individuals encountered while serving with BRM on social media or any public platform.

As part of its mission, BRM may photograph or record events, volunteer activities, and ministry outreach. By agreeing below, I grant BRM permission to use my name, image, likeness, and voice, in photographs, video, and audio recordings for ministry and promotional purposes, including websites, printed materials, and social media, without compensation. All media taken during BRM activities is the property of Bristol Raceway Ministries and may be edited, published, or distributed without further notice.

If I bring or allow a Minor to be present, I represent that I am authorized to consent to the Minor’s participation and inclusion in media as described above.

If I am unable to provide consent, I authorize BRM and its representatives to seek or arrange for emergency medical evaluation and treatment on my behalf as deemed reasonably necessary under the circumstances. I understand that any such care may be provided by third-party medical personnel.

I acknowledge that I am solely responsible for any costs associated with emergency medical care and that BRM assumes no responsibility for providing or paying for such treatment.

If I bring or allow a Minor to be present, I authorize BRM to seek emergency medical care for the Minor if I am unavailable, and I accept full responsibility for all medical decisions and costs.

I understand that BRM personnel are not medical professionals and are not responsible for making medical decisions beyond seeking appropriate emergency assistance.

I acknowledge that I have access to the BRM Volunteer Handbook, including any updates, and agree to comply with all policies, rules, and guidelines contained therein.

This Agreement is governed by the laws of the State of Tennessee. Any legal action arising out of or related to this Agreement shall be brought exclusively in the courts located in Sullivan County, Tennessee.

If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

This Agreement constitutes the entire agreement between the parties and supersedes all prior or contemporaneous agreements, representations, or understandings, whether written or oral, relating to its subject matter.
